Yesterday’s post got several responses with questions about a “You’ve got mail” voice. Some people would like to know how to turn it on and others would like to know how to turn it off.

Outlook and Windows do not ship with a “You’ve got mail” voice by default. If you’ve got this voice, it probably is because of additional software that is installed on your system. If you’d like to have this voice, you can add it by changing your Windows’ Sounds Scheme or by setting up a rule in Outlook.

I previously asked how to change the new mail notification sound in Outlook 365. You were helpful in assisting and I was able to follow instructions. I recently traveled and used a hotel wifi for Internet access. I notice the new mail notification has been reset to the default and can't change it to the wav file I want to use. Turn off the voice

When you have this voice, you probably have a Toshiba computer with the Toshiba Speech System software on it. Amongst others, this software will allow you to have your mail be read out loud for you. By default it is also configured to notify you of new emails when you receive it by saying “You’ve got mail” and when starting Outlook it will inform you of remaining unread mails in your Inbox by saying “You’ve got # unread mails”.

To turn these notifications off, use Tools-> Reading Options… and disable the “Inform mail receiving” option.

To disable this Toshiba add-in completely in Outlook, you can disable the Exchange Client Extension called “Mail Speak (TOSHIBA)”.

To get rid of the software completely, uninstall the following 3 applications via Control Panel;

  • TOSHIBA Speech System Applications
  • TOSHIBA Speech System SR Engine <language> <version>
  • TOSHIBA Speech System TTS Engine <language> <version>

Turn on the voice

If you don’t have a Toshiba computer but you’d like to have a “You’ve got mail” voice when receiving an email, you can change the default Windows sound for “New Mail Notification”.

To change your Sound Scheme in Windows choose;

There you can download numerous reminder alert sounds for Outlook in the WAV file format. To download a sound file at Free Sound Clips, click the link for it in the Sound Effects column. Then you can select to download either a WAV or MP3 file. Download the WAV file.

  • Windows XP; Category View
    Start-> Control Panel-> Sounds, Speech, and Audio Devices-> Change the sound scheme
  • Windows XP; Classis View
    Start-> Control Panel-> Sounds and Audio Devices-> tab Sounds
  • Windows Vista and Windows 7
    Start-> Control Panel-> Hardware and Sound-> section Sound-> Change system sounds

You can use pretty much any wav-file for this. There are many to choose from within Windows already. To get a specific “You’ve got mail” voice I’d recommend doing a search on the Internet with you favorite search engine such as Google or Bing for the phrase; you’ve got mail sound

Sometimes you don’t want to be disturbed by email notifications from the Microsoft Outlook app on your phone, such as when you are in a meeting at work. The sounds and the screen lighting up can be distracting.

You might not want work emails to bug you at weekends when you are supposed to be relaxing and you certainly don’t want to be pestered in the middle of the night by emails that can wait until the morning. A good night’s sleep is essential if you want to be productive the next day.

To stop email notifications:

  • Put the phone on silent to stop the chimes
  • Put the phone face down so you cannot see the screen light up with a notification
  • Turn off notifications for apps completely with Do not disturb

None of these options is perfect and you might forget to enable them and then be disturbed by notifications in your meeting, in bed or relaxing at the weekend. There is an alternative way to silence these distractions that you might prefer.

I will be using the Outlook app on an Android phone, but these features will no doubt be incorporated into the iPhone app sooner or later too.

Configure Outlook Do Not Disturb

Open the Outlook app on your phone and tap the menu button in the top left corner to open the sidebar. Press the bell icon at the top. The Do not disturb screen is displayed and you can use the controls to choose when to display or hide email notifications.

When you enter a meeting you could turn off notifications for one hour, or until you turn off Do not disturb. Dark souls 3 1.14 patch download. However, there is a better solution.

If you schedule events with Microsoft Calendar (it’s in the Outlook app, in Windows 10 and on the website), turn on the switch During events and notifications are automatically muted for the duration. That could be a useful feature and it saves you having to remember to manually turn off notifications.

There is also a useful option to turn on Do not disturb during weekends and you will not see any work emails from Friday 5 pm to Monday 8 am. Now you can relax without worrying about work. It does not mean you will not receive emails, you will and you can manually check for them by opening the app, you just won’t see or hear notification sounds and notices.

Set the options as you prefer and press the tick button in the top right corner.

Set notifications through settings

There are more notification settings elsewhere and these allow you to configure additional options not available in the app. Go to the Settings app on your phone and press Apps. Find and press Outlook to show the Application Info screen. Scroll down a bit and then press Notifications.

These are Android notification settings and they are not specific to any one app. There is a master switch at the top, Allow notifications, and this shows or hides all notifications from an app.

There is an option to show notifications, but disable sounds and vibrations – Show silently.

If your emails are private and you don’t want anyone who picks up your phone to see them, press On lock screen and select Hide content. If you are not bothered if people see the subject and first few words in a lock screen notification, set it to Show content.

The Set as priority option enables the app to show notifications even when Android Do not disturb is enabled. If you are not sure where this is, go to Settings > Sounds and Vibration > Do not disturb. Don’t just turn the switch on, press the text for extra options. (Different versions of Android may place this feature in different places.)
